Explanation of Grades

VALID GRADES: The following grades are valid: A, A-, B+, B, B-, C+, C, C-, D+, D, D-, F. Under special circumstances as described below, the grades of Audit, Incomplete, Report in Progress, Credit/No Credit, Withdrawal, and Withdrawal Unauthorized are also valid.

AU: AUDIT. All students registered properly for Audit will have "AU" preprinted in the grade column of the grade roster. ONLY STUDENTS WITH A PREPRINTED "AU" MAY HAVE A GRADE OF AUDIT. However, if a student signed up for "AUDIT" and did not meet the standards for class attendance, the instructor may "administratively" drop the student by filling out the appropriate form at the Office of the Registrar.

INC: INCOMPLETE AUTHORIZED. The symbol "I" indicates that a portion of required coursework has not been completed and evaluated in the prescribed time period due to unforeseen, but fully justified reasons, and that there is still a possibility of earning credit. It is perfectly acceptable to issue an Incomplete to students in CR/NC classes or status.

NOTE: University Senate Policy allows one calendar year to remove an Incomplete grade. The staff will be following this policy and will not accept Incomplete removals that extend beyond the one year deadline. Failure to complete the assigned work within one calendar year will result in an Incomplete Charged to be assigned and the units attempted will be computed into the grade point average as an "F" (or a "NC" if the course has been taken CR/NC). Any special circumstances need to be brought to the attention of the Office of the Registrar at x4-2134. Incompletes may not be changed if the student has graduated.

RP: REPORT IN PROGRESS. Students who would ordinarily receive a grade of Incomplete should receive a grade of RP in specific courses that extend beyond one academic term. Based on the Grading Method and Grading Option codes set in SIMS/R, WebGrades will indicate whether a grade of INC or RP is acceptable for each course.

CR/NC: CREDIT/NO CREDIT. All students officially registered for CR/NC will have a Grading Option of "2" indicated on the grade roster. THESE ARE THE ONLY STUDENTS WHO MAY RECEIVE CREDIT/NO CREDIT GRADES. Select either the CR (Credit), NC (No Credit), or "INC" grade on the roster. No other grades or grading symbols may be used.

W: WITHDRAWALS. Those students who have officially withdrawn from a class will be listed on the grade roster with a withdrawal grade of "W". This grade can not be changed. A "W" is an administrative grade for which the Office of the Registrar must have backup documentation in order for it to be valid. Only students with a "W" indicated in the grade column of the roster are entitled to have a grade of "W".

WU: WITHDRAWAL UNAUTHORIZED. The symbol "WU" indicates that an enrolled student did not withdraw from the course, but failed to complete course requirements. It is used when, in the opinion of the instructor, completed assignments or course activities or both were insufficient to make normal evaluation of academic performance possible. For purposes of grade point average and progress point computation, this symbol is equivalent to an "F".

Please note: When submitting a WU grade, the instructor must report the last known date of attendance by the student. If the student never attended the class, the instructor can select the "Never Attended" option.

CBE: CREDIT BY EXAMINATION. This annotation appears on the grade roster for students who are enrolled in the course for "Credit by Examination". The abbreviation, "CBE", is preprinted on the grade roster. The appropriate earned grade should be entered in the grade column.

REPORT DELAYED (RD): The grade of RD will be automatically posted by the SIMS/R system after the grade submission deadline in the following cases:

1. Grade rosters that are not submitted by the deadline date.

2. Students who have a grade missing from the grade roster.

"MyGrades" will instruct students to contact the instructor in the case of an RD grade. RD grades may cause serious problems for some students, especially those on academic probation. Some students will not graduate and may be disqualified because of an RD grade.

NOTE: The following grades are not valid unless preprinted in the grade column on the grade roster: W (Withdrawal) and AU (Audit). YOU CAN NOT CHANGE THESE GRADES ON THE GRADE ROSTERS.
